[Notice] Travel from Japan to Overseas

As the influence of COVID-19 infection is continuing wordlwide, the Ministry of Foreign Affairs has declared all countries to be included in the Level 1 Warning on Infectious Diseases.

 

Beginning from February 22, 2023, all students planning travel abroad are required to confirm the level of Warning on Infectious Diseases for their destination country or region and to submit an Overseas Travel application through the Forms linked below. Note that, your student support office may require other documents to be submitted in addition to the Overseas Travel application, depending on the purpose of your travel. Please confirm the required documents directly from your student support office.

Submission deadlines:

Please check the level of Warning on Infectious Diseases from the Ministry of Foreign Affairs webpage.

Level1 or below: Submit before departure from Japan.

Level 2: Submit before departure from Japan (any deadlines set by one's student support office override this default deadline).

Level 3:

【If purpose of travel is participating in the university's study abroad program※1】

Submit at least 2 months before departure.

【If purpose of travel is for personal reasons※2】

Submit at least 3 weeks before departure.

 

※1 includes Study abroad programs managed by Hiroshima University, research exchange, internships, and conference participations.

※2 travel purposes unrelated to Hiroshima University, e.g. temporary return to home country, tourism, and other private reasons.

 

When applying for overseas travel to a country designated with a level 2 Warning on Infectious Diseases, you must submit a signed written pledge (get document here).

 

● Regarding former and new names for graduate schools

 In case there has been a name change at the graduate school a student has been enrolled to, please make sure to check which old or new graduate school you currently belong to before submitting the application form. Hiroshima University overseas dispatch and travel policy (basic procedure)】

・Voluntary refrain from all non-essential travel to countries/regions to which the Ministry of Foreign Affairs (MOFA) has issued a level 2 ("Avoid non-essential travel") travel advisory (includes warning on Infectious Diseases).

・Voluntary refrain from all travel to the countries/regions with a Level 3 ("Avoid all travel"), or a higher travel advisory.

Exceptions may be allowed in the case of travel for special personal reasons (physical or mental illness, care for relatives, ceremonial occasions, etc.).
